2023-24 Access Card Use

PLEASE NOTE:  While the University is now open to the public in a general way, we are still required to follow certain procedures for users in the building after hours and on weekends, when the building is locked.  This document outlines access procedures as well as other health and safety protocols for all users including Community groups and students.  PLEASE READ THIS DOCUMENT AND SHARE IT WITH EVERYONE IN YOUR GROUP! 

Regular building hours for the ACTF are 8 am – 5 pm Monday to Friday, excluding holidays.  The building is locked at all other times.  All University Buildings including the ACTF are closed on statutory holidays.  After hours, Security can be reached via the camera intercom located to the left of the main doors.

External Access to the ACTF is monitored by Campus Security as per every Campus building. 

During regular operating hours our front door is monitored by a Security Guard. 

Outside of regular hours, access is through the video intercom, and everyone must provide ID.  UW students, faculty and staff should present their UW ID cards.  Any rental group with non-UW guests must provide names to the THFM office at least one working day before the booking, so names can be provided to Security to allow entrance; guests must present photo ID and be on the Security list to gain access after regular hours.  For more information, please contact the THFM office at 204-786-9955 or m.tallin@uwinnipeg.ca.

ENTERING THE BUILDING OUTSIDE OF REGULAR HOURS: 

  • ENTRANCE: External access to the ACTF is limited to the main door only (up the ramp from Balmoral St, or along the path and up the stairs from Colony). (Card access to any external doors is no longer permitted.)
  • REQUIRED LIST OF PARTICIPANTS: Groups using space outside of regular building hours for non-THFM projects must provide names of all members (BOTH UW student/faculty/staff AND non-UW student/faculty/staff) to the Department Office (m.tallin@uwinnipeg.ca) at time of booking, at least one working day in advance of the booking dates. Security requires we provide these names before access will be allowed.  (This is not required for THFM student activities where everyone is a UW student.)
  • CONTACT SECURITY FOR ACCESS AFTER HOURS: Outside of regular weekday hours (i.e., when the building is closed), students and Community group members will be required to contact Security via the photo intercom to the left of the main door, provide their name, and show their ID to be allowed into the building. For non-THFM student activities, Security will check names against the list provided and those not on the list will not be allowed entry. 
  • PHOTO IDENTIFICATION: All students and members of the group must show photo ID at the video-intercom to enter the building outside of regular hours. UW students/faculty/staff can use UW ID cards; non-UW users must have alternate photo ID.  Security may require this ID before allowing individuals into the building.  (Users should all have ID with them at all times as Security may do random checks on their rounds.)
  • SIGN IN EVERY TIME: Outside of regular hours, group members entering the building will be required sign in on the provided Daily Sign-In sheet at the front desk. Security will use this sign-in sheet to confirm approved presence in the building. (This is not required of THFM student activities where everyone is a UW student.)

INTERNAL ACCESS USING THE SALTO CARD SYSTEM:

 Studio Access: Studios may be locked during the summer months, and are always locked after hours and on weekends. Access can be arranged two ways:

    • Studio doors may be opened using Salto Access Cards as below.
    • Security can let you into a locked room ONLY if you have the booking confirmation, or if you visit them at their office in Centennial Hall to have your Salto access checked.
  • Access Cards: Salto Access Cards can provide INTERNAL access to designated rooms in the ACTF from 8am to 10pm daily (except statutory holidays when the University is closed).
    • Student Cards: UW THFM students may get internal access to designated spaces added to their student/ID cards by visiting the Department Office during regular office hours. 
    • Other Users: Renters and other building users may also obtain one or two Access Cards programmed to allow them into designated spaces; contact the Department office in 3T03 (204-786-9955; mtallin@uwinnipeg.ca) for details. 
  • Hot-Spotting: Access cards must be activated every day they are used. This is done by holding the card lightly against the sensors ("hot spot") mounted beside the Main Ramp Door on the auto-door opener pedestal to the right of the doors.  (The sensor may blink green or red, depending on if the external doors are open. This does not affect the activation of your card.)  The activation expires daily and must be activated again the next day the card is used.
  • Audit Trail: Each access card carries an audit trail and the card holder is responsible for its use. Cards should not be loaned or shared.  Please report a lost, stolen, or damaged card to the Department Office or Security immediately so that the card may be deactivated.  

Internal Access for ACTF students is as follows:

  • All students registered in at least one course in the Department of Theatre and Film are eligible to receive INTERNAL access to designated spaces within the ACTF outside of regular class hours. You must present your student ID card to the Department office in Room 3T03 to program access to ACTF spaces depending on your area of study.  There is no charge.  (Note:  replacement cost for lost Student ID cards is $25.00.)  Your card may carry access to several different campus buildings; please advise us if you have access to Duckworth, a residence, etc. prior to updating your ACTF access.
  • Cards will provide access to your designated spaces within the ACTF from 8am to 10pm daily (except statutory holidays when the University is closed). This is intended to give you safe and secure access to the ACTF spaces for the purposes of rehearsal or lab assignment work associated with your classes, or production work. (Rehearsal rooms must be booked in advance; see separate Room Booking Instructions link for details.)
  • Cards will automatically expire at the end of April each year. Should you require access beyond that date, please contact the Department office.
  • Operate your card by holding it lightly against the sensor ("hot spot") mounted on the pedestal to the right of the Main Door to activate it each day for internal access.  (The sensor may blink green or red, depending on if the external doors are open. This does not affect the activation of your card.)

Note:  You must pass your card across the sensor once daily even if the doors are unlocked. This keeps your card updated, which is necessary to allow you into any locked classrooms (studios and film, design and costume labs) to which you have been given access, and maintains the integrity of the system.  If you fail to "update" your card in this way, it will stop working until you next present it to a "hot spot". 

  • The Manitoba Hall doors into the main campus (both sets) across from the ACTF are open from 7:30 am - 5:00 pm Monday to Friday should you need to go across to the main campus.  Outside of those hours, you must go to Centennial Hall main doors and contact Security there.
  • No entry to the ACTF will be permitted outside regular hours without your card; i.e. Security will not open the door upon request.

Please don't bang on the doors in an attempt to persuade others to let you in!

Please don't open the doors for strangers who do not belong in the building! 

Please don't prop doors open!
