Teaching Support Hiring Information

Teaching Assistants, Markers, Invigilators, and Lab Demonstrators

If the person you intend to hire as a teaching assistant, invigilator, marker, or lab demonstrator has a current appointment as an hourly paid employee in your department, then you can just assign them hours of work for this function.

If the person you intend to hire does not have a current appointment as a teaching assistant, invigilator, marker, or lab demonstrator in your department, and you plan to assign more than 8 hours of work, the position will have to be posted (as per the PSAC Academic Capacity Collective Agreement). To request a posting, you will need to complete the posting request form

Human Resources will create the posting within the University’s electronic recruitment system and post
the position within three (3) working days of receiving the request. Once posted, you will receive an email
confirmation that will include a link to the posting and instructions for using the recruitment system.
Please note that the closing date may be adjusted to meet the minimum posting length of 7 or 14 calendar
days.

Once you have selected the successful candidate, you will need to fill out the Employment Information section of the Employment Form for PSAC-AC Employees. After completing and signing your section, forward to the successful applicant to complete the Personal Information section, sign, and send the form back to you. Once completed in full, send to HRIS@uwinnipeg.ca for processing.

If your new employee has never worked for UWinnipeg before, provide them with the following link to complete their new employee forms (i.e., tax forms) online: https://www.uwinnipeg.ca/newhire.

Classroom Technical Support

Classroom technical support positions (Student Assistant 2) fall under the AESES Collective Agreement and do not require posting if you are hiring a student for three months or less. Please note that these positions are for full-time UWinnipeg students only.

To hire your student assistant, firstly, you will need to fill out the Employment Information section of the AESES Hourly Employee Form and sign it. You can contact Bryan Ward in Human Resources to confirm the appropriate rate of pay. 

After completing and signing your section, forward to the student to complete the Personal Information section, sign, and send the form back to you. Once completed in full, send to HRIS@uwinnipeg.ca for processing.

Payroll for Teaching Support

After submitting the completed Employment Form and new employee hire forms (if applicable), you will be sent a confirmation email from HRIS confirming your new employee has been set up in MyHR. All hours must be entered and approved via MyHR on a bi-weekly basis. If you haven’t used MyHR before, please contact hris@uwinnipeg.ca for assistance.

Please note, hourly employees are paid two weeks in arrears. A current bi-weekly pay dates schedule can
be found on the HR website: https://www.uwinnipeg.ca/hr/forms-revised/hr-forms.html.

Payroll for teaching support should be paid from your departmental TA/marker budget.

The rates of pay for PSAC-AC roles are included in Appendix A of the PSAC Academic Capacity Collective Agreement. You must also factor in an additional 16% for vacation pay and mandatory employment-related costs, i.e., CPP, EI, Payroll Tax.

The rates of pay for Student Assistant 2 are included in the AESES Collective Agreement on p. 127.

Once the employee has completed their appointment, please send an interdepartmental charge/transfer form with the total amount and your departmental account number to b.doran@uwinnipeg.ca, so that the funds can be transferred from the Provost's account.
