Q: My Archive has filled my quota on my I: Drive! I cant save any more files there! What do I do?
A: The standard file quota for the file server (I:, S:, and Departmental shares) is usually 350Mb. In fact, 300Mb of this is intended for your archives, and only 50Mb for files. In other words, mission critical files only, that are changed regularly. Files that are being kept for historical reasons, would be better off burned permanently to CDs. While TSC will allow some increases to quotas for individuals where there is need, it is impractical to keep increasing quotas indefinitely. As to your archive, there are several options:
Clean up your Archive. Many individuals archive every single message, including SPAM. Keeping only crucial messages will reduce the size of your archives.
Burn a CD and then clean up. Make a backup copy of your Archive, then remove messages which you are keeping for historical purposes from your live archive. This will reduce the size of your Archive, without loss of needed historical information.
Burn a CD and start over. As in option 2, back your archive up to CD, but instead of cleaning up your active archive, delete everything out of it. This will give you back all that space, and you can then start over with an empty archive. Your old archive is safely contained on a CD, and can be accessed at need. Best for clients who find they rarely access the files on their archive.
Move your Archive to a local or portable (USB) Drive. While this is a viable option, it is probably the least secure and not recommended. Local and portable drives are not backed up, so TSC cannot assure the security of the data contained in your Archive, and cannot restore it if something corrupts or deletes it. Be sure to make fairly regular copies to CD.
Q: Is there any reason why I cant set up my archive on my local drive (C:, D:), and thus avoid space quota problems involving the Network drives?
A: No. You can set your archive up to any drive to which you have access. You could even place your archive on a portable USB drive (assuming the size is adequate), which would make your archive available from any computer that has the full GroupWise client. Keep in mind however that there is no way for TSC to back up data not contained on campus servers. If an archive saved to a local drive is deleted or becomes corrupt, TSC will most likely not be able to help with recovery. If you choose to locate your Archive locally or portably, be sure to back it up to CD occasionally. If your machine is going to be re-imaged, be sure to mention the location of you archive to the technician doing the work.
