GroupWise Archiving: FAQ (Frequently Asked Questions) 1
GroupWise Archiving has become more and more necessary for University of Winnipeg faculty and staff. This article should help to answer some of the more common questions about Archiving. For instructions on how to set up Archiving, please see the GroupWise Archive article found here.
Q: Why do I need to Archive? Why can’t I simply retain all my mail within my GroupWise account? Why is there a quota on my account anyway?
A: The GroupWise email system retains all your email (including that contained in cabinet folders), and calendar, on the server database. If clients keep a large amount of email and attachments on the server, it impacts on the speed of the email service and reduces our ability to maintain, service and backup the system. Archiving reduces the amount of email on the email server itself, and therefore increases the speed and usability of the GroupWise system. This is why we set a standard quota (Usually 100Mb) on all GroupWise accounts.
Q: What should I Archive?
A: Email messages from your Inbox, and Cabinet Folders, that need to be kept, but do not need to be accessed on a regular basis. Archiving is best used for older email that is being retained for historical reasons. DO NOT ARCHIVE YOUR CALENDAR OR TRASH!
Q: How do I access messages that have been archived? How do I get back to my active inbox?
A: To view the files in your current Archive, click “File”, then “Open Archive”. You should now be in your Archive (The word “Archive” will appear in brackets in the title bar of the GroupWise window). When you are finished browsing the Archive, Click “File”. You will notice a check mark beside, “Open Archive”. Click “Open Archive”. The checkmark will disappear, and you will be switched back to your active mailbox.
Q: How do I Archive individual or groups of messages? How do I move them back into my active mailbox?
A: To Archive a specific message, right-click on it, then click “Move to Archive”. The message is instantly moved to your currently active Archive. You can select multiple messages by holding down the CTRL key while you click each message, then right-click. Similarly, to restore a message from your Archive, first access the Archive. Select the message(s) that you wish to restore, then right-click. “Move to Archive” will have a checkmark beside it. Click “Move to Archive”, and the message(s) will instantly move back to your active mailbox.
- Q: Can I access my Archive on the I: drive from other locations?
A: Currently, your I: drive archive, is only be available from on campus. You can only be able to access it from a computer that you are logged in to using your own Novell and GroupWise accounts. I: drive archives cannot be accessed externally to the campus. Nor can they be seen via the WebAccess service.
